Student Absence Procedures

Report student absences to the attendance line by 8:30 a.m. by calling (440) 247-2043.

Appointments during the day must be accompanied by a note from home. Students must turn the note into the main office in the morning prior to the start of the school day. Students with appointments will be given a pass to get out of class at the dismissal time and should come to the office to sign out. When students return to school from an appointment they should bring an appointment verification note from the doctor. Students must sign back in at the office and receive a pass into their class. 

Emergency appointments scheduled after your child has already left for school? If you need to schedule an appointment for your child after your child has already left for school please call the office at 440-247-2043 as soon as you have the appointment and leave a message if needed.  

Vacations: Students are granted a total of five (5) days of vacation as excused absences for the school year. When a family vacation must be scheduled for one or more days because of a vacation, students MUST obtain a form and submit it five (5) days in advance of the absence. It may be possible for the student to receive certain assignments in advance of the trip. Students who are excessively absent or habitually truant from school will not be granted vacation time, unless the Principal or their designee approves the request.  Failure to complete the appropriate form and provide appropriate documentation (if necessary) will result in the absence being counted as unexcused. Defining Absenteeism: The primary responsibility for school attendance is placed with the parents. The parent is responsible for permitting only those absences that can be excused in accordance with Ohio Revised Code and the regulations of Chagrin Falls Exempted Village Schools. Below are a few of the factors considered to be reasonable excuses for time missed at school. For more information see Board Policy 5200 -Attendance

  1. personal illness (a written physician's statement verifying the illness may be required)

  2. appointment with a health care provider

  3. illness in the family necessitating the presence of the child

  4. death in the family

  5. necessary work at home due to absence or incapacity of parent(s)/guardian(s) 

  6. observation or celebration of a bona fide religious holiday

  7. college visitation

A student is deemed “excessively absent” from school when the absences occur with a non-medical excuse or without an excuse for 38 or more hours in one school month or 65 or more hours in one school year.  Parents will be notified in writing that the student is defined as “excessively absent” from school and may be referred to community resources.  The district will follow its plan for absence intervention.

A student is considered to be “habitually truant” from school when the absences occur without a legitimate excuse for 30 or more consecutive hours, 42 or more hours in one month, or 72 or more hours in a school year. If the child is considered “habitually truant,” the Board shall initiate action by the Absence Intervention Team to develop an absence intervention plan, which may include providing a truancy intervention program, requesting or requiring a parent or guardian, or other person having care of an habitual truant to attend parental involvement programs, notification of the registrar of motor vehicles under ORC 3321.13, or taking legal action pursuant to ORC 2919.222, 3321.20, or 3321.38. If the student does not make progress on the absence intervention plan or continues to be excessively absent, the district will file a complaint in juvenile court (ORC 3321.19).
